We are looking to bring in a Junior Operations Coordinator to support continued growth in operations, service delivery, and corporate services. As part of this team, you would be primarily supporting service delivery and finance as well as performing other administrative tasks across the organization.
Tasks and Activities
The scope of work will include:
- Supporting the coordination and organization of documents (ex. invoices, contracts, etc.) and ensuring that they are identified accordingly.
- Working with project managers and service delivery managers to ensure that contract-related information is accurate and up-to-date.
- Support purchase order creation, reconciliation and coordination process
- Drafting communications materials for further review.
- Coordinate and manage responses to client requests for pricing and proposals such as Task Authorizations.
- Scheduling meetings and setting meeting agendas.
- Minute-taking.
- Respond to inquiries in a timely manner.
- Supporting other teams, as required – this could mean stepping into perform data entry or data validation for payroll administration, expense claims, or accounts payable (for example).
Skills and Experience
The following skills and experience are mandatory:
- Must have demonstrated, proven organizational skills.
- Must be able and willing to go attend on-site meetings (Ottawa).
- Ability to work independently is critical.
The following skills and experience would be highly desirable:
- Bilingualism (English/French) is preferred.
- Post-secondary education in any field is preferred.
- Previous experience is an asset.
