RHEA Inc is looking for an Administrative Assistant – Operations to add to RHEA’s growing corporate team.

As an Administrative Assistant – Operations, you will provide essential administrative support to our operations and delivery teams. You’ll help with daily office tasks, coordinate internal processes, assist project managers, and ensure smooth administrative workflows across the organization.

Tasks and Activities

The scope of work will include:

  • Assist with Operational Tasks: Support the operations team with daily activities and tasks to ensure smooth business functions, manage and coordinate equipment purchases, manage admin functions linked to travel, timesheets, expenses
  • Data Entry and Reporting: Maintain accurate records and assist in preparing reports for operational analysis.
  • Process Improvement: Identify areas for improvement in operational processes and suggest actionable solutions.
  • Schedule Coordination: Help coordinate schedules and meetings for the operations team, ensuring optimal time management.
  • Customer and Vendor Communication: Act as a liaison between customers, vendors, and internal teams to ensure clear communication.
  • Project Support: Assist with various projects in an administrative or clerical capacity.

Required Education, Skills, and Experience

The following education and credentials are highly desirable:

  • Post-secondary education in a relevant field (or equivalent experience)
  • Previous experience in a similar role (including internships)
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint)
  • Strong organizational skills with an eye for detail.
  • Discretion and adherence to confidentiality
  • Excellent communication skills, both written and verbal

Working Conditions

  • Employment Status: This is a full-time, permanent role
  • Location: Ottawa Downtown location
  • Schedule: Monday to Friday, 830 AM to 5PM, possibility for flexible weekday schedule
  • Compensation: $50,000 annually as a baseline, plus benefits & 3 weeks’ vacation.
